Cost per invoice
Ramp’s published fee schedule works out to $1.60 per invoice at 1,000, 5,000 and 25,000 invoices a month, since its $0 Free plan and its flat per-transaction payment fees do not change with scale under this site’s assumptions. BILL starts higher, at $1.70 per invoice at 1,000 invoices a month, then drops to $1.64 at both 5,000 and 25,000, because its $49-a-user Essentials plan spreads across more invoices once the team runs a larger volume. Full detail on both figures, including every line item, is on the Ramp cost record and the BILL cost record.
Card payments
BILL publishes a 2.9 percent fee on card payments, the same cost basis it uses for every other payment method on its pricing page. Ramp’s own Bill Pay fee schedule lists no card payment fee anywhere, which is a gap in what Ramp discloses rather than a free option, and the pricing methodology treats it that way rather than showing it as zero.
Plans
Ramp sells three tiers: Free, Plus at $15 a user a month plus an undisclosed platform fee, and a custom Enterprise plan. BILL sells five: Essentials at $49 a user a month through Corporate at $89, a custom Enterprise plan, and a separate accountant wholesale plan. Ramp’s Free plan carries no published user-count or invoice-volume cap, which is why this site keeps it as Ramp’s priced plan at every volume tier rather than assuming an upgrade; the cost per invoice calculator lets you test what a Plus-plan platform fee would do to that number.
ERP fit
Both vendors hold NetSuite, Sage Intacct and Dynamics 365 Business Central behind a plan upgrade: Ramp’s Plus tier, BILL’s Enterprise tier. A team that already needs NetSuite, Sage Intacct or Dynamics 365 pays a plan upgrade either way.
QuickBooks and Xero are where the two vendors actually differ. Ramp syncs both QuickBooks and Xero on every plan including Free, while BILL gives full two-way sync only from its Team plan up and leaves Essentials with manual CSV import and export.
Who should pick which
A small team on QuickBooks or Xero that wants the lowest published cost per invoice, and does not yet need a card payment fee, gets more from Ramp’s entry plan. A team that already runs on NetSuite, Sage Intacct or Dynamics 365, or wants a published card payment rate rather than an undisclosed one, is better served starting from BILL’s plan table.
